§1 General provisions

  1. These Terms and Conditions define the rules for the provision of services, liability, and staying on the premises of Aparthotel Vicini.
  2. These Terms and Conditions constitute an integral part of the agreement concluded through:
    1. making a reservation,
    2. paying a deposit or the full amount due,
    3. signing the registration card.
  1. By making a reservation, the Guest confirms that they have read and accepted these Terms and Conditions.
  2. These Terms and Conditions apply to all Guests staying on the premises.

§2 Hotel day

  1. The room is rented on a daily basis.
  2. The hotel day lasts from 3:00 PM to 10:00 AM the following day.
  3. Requests to extend the stay should be reported to the Reception no later than 9:00 AM on the day of departure.
  4. Late check-out (after 10:00 AM) is possible only upon prior agreement with the Reception and is subject to a fee of 150 PLN.
  5. If the room is not vacated by 10:00 AM without prior agreement, Aparthotel Vicini reserves the right to charge a fee equivalent to an additional hotel day.

§3 Reception and check-in

  1. Reception is open from 8:00 AM–6:00 PM.
  2. Guests planning to arrive outside reception hours are required to contact the Reception in advance by phone or email during working hours to arrange key collection.
  3. Failure to contact in advance may result in a late check-in fee.
  4. Check-in requires presentation of a photo ID and signing the registration card.
  5. The full payment for the stay must be settled no later than at check-in (unless paid earlier).

§4 Individual reservations and cancellation conditions

1. FLEX offer

  • free cancellation up to 14 days before the planned arrival,
  • in case of later cancellation, the paid deposit (20%) is converted into a voucher of equal value to be used at Aparthotel Vicini,
  • in case of cancellation on the day of arrival or no-show without prior notice – the full fee for the first night will be charged,
  • a 20% prepayment is required when booking online or via a secure payment link sent by email.

2. NON REFUNDABLE offer

  • to confirm the reservation, full prepayment of the stay is required,
  • in case of cancellation, change of date, or no-show on the arrival day, the paid amount is non-refundable.

3. Reservations made via booking portals (OTA)

For reservations made through external booking platforms (e.g. Booking.com and other OTAs), the cancellation and payment conditions selected during the booking process on that platform apply.
These Terms and Conditions apply to the rules of stay, liability, and order on the premises.

4. Shortened stay

In case of early departure, payment for unused nights is non-refundable.

§5 Group reservations

  1. Reservations including 6 or more rooms are treated as group reservations.
  2. For group reservations, a prepayment of 50% of the total reservation value is required.
  3. Free cancellation of group reservations is possible up to 21 days before the planned arrival.
  4. In case of cancellation after this period, Aparthotel Vicini reserves the right to charge for unused rooms in accordance with the confirmed reservation.
  5. Aparthotel Vicini reserves the right to require a security deposit for group reservations.
  6. The group organizer is required to appoint one coordinator responsible for contact with Aparthotel Vicini and for the behavior of group participants during the stay.

§6 Pets

  1. Aparthotel Vicini accepts small pets weighing up to 5 kg.
  2. The fee for a pet is 100 PLN per stay.
  3. The presence of a pet must be reported at the time of booking.
  4. If an unreported pet is found, the Guest is required to immediately pay the applicable fee.
  5. The pet owner is fully responsible for any damage and is obliged to maintain cleanliness.

§7 Quiet hours and order

  1. Quiet hours apply from 10:00 PM–7:00 AM.
  2. Guests are required to maintain peace and respect the right of others to rest.
    Disturbing quiet hours, excessive noise, or other behavior that disrupts other Guests’ stay will result in a penalty of 500 PLN.

In the event of intervention by public order services or repeated violations, Aparthotel Vicini reserves the right to seek compensation exceeding the penalty amount, in accordance with incurred costs.

In cases of gross or persistent violation of the rules, Aparthotel Vicini has the right to terminate the stay agreement with immediate effect, without refund for the unused period.

  1. Organizing parties or gatherings that disturb other Guests is prohibited.

§8 Smoking ban

  1. Smoking tobacco and electronic cigarettes is strictly prohibited throughout the property, except in designated areas.
  2. Rooms are equipped with smoke detectors.
  3. Violation of the smoking ban results in a penalty of 500 PLN.

§9 Guest liability

  1. The Guest bears full financial responsibility for any damage caused by themselves or their accompanying persons.
  2. In case of loss of a key, a fee of 50 PLN will be charged.
  3. Keys should be returned to the Reception or left in the room on the day of departure.

§10 Liability of Aparthotel Vicini

  1. Aparthotel Vicini is liable in accordance with applicable law.
  2. Liability for loss of valuables is limited to items deposited for safekeeping.
  3. Aparthotel Vicini is not responsible for inconveniences or limitations in services resulting from causes beyond its control, in particular utility outages, maintenance work, renovations, or force majeure events.

§11 Lost property

Items left on the premises will be stored for 7 days. Upon request, they may be returned to the owner at their expense.

§12 Personal data protection

  1. The controller of personal data is Aparthotel Vicini.
  2. Detailed rules for data processing are specified in a separate Privacy Policy available on the property’s website.
